    This form can be completed by anyone who wants to hire the Motueka Memorial Hall, Pah Street, for a one-off or regular event.

  • Hall details and costs

  • Motueka Memorial Hall is located on the north-western side of the Motueka township at 8 Pah Street. The hall can accommodate up to 450 people, and is suitable for all kinds of events. 

    The hall has toilet facilities, a kitchen, a separate dining room/meeting room, entrance foyer and ticket booth, along with back stage rooms. Special lighting and crockery available on request.

     

    Hire costs from 1 July 2026

    Hourly Rate - $30 per hour

    Regular Users - $25 per hour

    Full Day Hire – between 8.00 am and 6.00 pm - $250

    Commercial operators - $35 per hour

    Local concerts, shows, school concerts - $30 per hour

    Weddings, dances, reunions, cabarets, etc. - $250 from 8.00 am to 6.00 pm, and $250 for the evening from
    6.00 pm onwards

    Out of town shows - $30 per hour during the day or $250 from 8.00 am to 6.00 pm

    All the above require the booking details submitted and a bond of $300 paid before a booking is confirmed.

    If you require special lighting, an extra charge of $250 per day will apply. This charge covers power and lamp hours. There will be an additional charge directly from the lighting technician for operation of the lights.

    The hire of extra crockery and cutlery is $150, or free of charge to recognised local organisations and schools.

    All charges include GST.

    Intoxicating liquor

    No intoxicating liquor shall be brought onto the premises, nor shall any person be permitted to have
    possession of or consume intoxicating liquor in or about the premises at ANY PUBLIC FUNCTION, unless with the express written consent of Council.

    Protection of floor

    No nails etc are to be driven into floor; no powder to be applied to floor, no Sellotape/masking tape to be stuck on walls. Carpet is under stage to place structures on to floor surface (the carpet may be cut).

    Cleaning of hall

    The hall must be cleaned after use. Please see obligations of hall hirers.

    Indemnity

    I agree that if the hall complex and contents are not left in a clean and tidy state, or has suffered any damage, the bond may not be refunded, and additional charges may apply. I hereby authorise the Tasman District Council to make good all damage or loss and charge me for the costs or deduct from the bond.

    Regular bookings

    Any person or persons booking the Memorial Hall on a regular basis shall be required to forfeit any such date as the Motueka Service Centre Team Leader or any other person acting on behalf of the Tasman District Council may see fit.

    Cancellations

    At least five working days’ notice is required to be given at this office prior to any booking being cancelled or you will be charged accordingly.

    Bond

    A refundable bond of $300 is required as part of your booking. Payments can be made online or at one of the Tasman District Council offices.

    Obligations of hall hirers

    Below is a list of requirements that are expected to be complied with by all hall hirers. Some cleaning equipment is in the cupboards in the kitchen, but cleaning products and extra cleaning equipment is to be provided by the hall hirer.

    • Advise the Council office before using the hall if you feel it is not up to a reasonable standard.
    • No electrical appliances to be brought into the hall unless they have electrical certification.
    • Sweep the area(s) you have used when finished, including main hall, foyer, supper room, kitchen, toilets, dressing rooms behind stage, stage.
    • If used, please clean and wash all kitchen benches, floor, electric ranges, microwave, warmers, all crockery (put away in cupboards), and fridge in the kitchen. Some cleaning equipment such as mops and buckets are available at the hall. Tea towels, dishcloths, cleaning products and rubbish bags are not provided.
    • Damp mop floors with cold water – (do not use hot water or boiling water out of the zip – this will damage the floor because it is too hot) any food or beverage spills etc, in the hall, foyer, stage, dressing rooms or kitchen areas (including wet mucky footprints).
    • Toilets are to be cleaned and soap splashes, etc are to be wiped up.
    • All chairs are to be stacked tidily. Please stack chairs in the supper room. Please do not drag across the floor.
    • Stack tables tidily under the stage or in the supper room (DO NOT DRAG ACROSS THE FLOOR).
    • Remove any of your posters, screens, equipment, etc, straight after your event.
    • Location of light switches for the hall are on the inside of the door on the right hand side of the stage. There are three switches that should operate the hall normally.
    • If you are holding a production, there is a lighting switchboard on the stage, which alters the dynamics of the lights. If the main switchboard is used, please ensure that it is returned to the normal settings so that only the three switches have to be used. Lights are to be turned off.
    • Please do not alter switches on the main switchboard for lighting unless you are having a production. Please put switches back to their original settings.
    • All heaters/air conditioning units must be turned off at the power switch only. Please do not alter settings.
    • Rubbish and recycling must be removed from the premises.
    • Turn off all electrical switches EXCEPT the main switches.
    • Ensure all doors (including external kitchen & supper room doors) and windows are locked.
    • Advise the Council office of any breakages or damage to the property.

    The bond is refunded to the nominated bank account once the hire invoice has been paid, the event has passed, and Council is comfortable that hirers have followed the obligations of hall hirers.

    Information Privacy Principle 3 of the Privacy Act says that when an organisation, business or agency collects information from an individual, it should ensure that the individual is informed about what information is being collected and the purpose it is to be used for.

    A privacy statement is provided to an individual at or before the time an organisation collects personal information from them (or if that is not practical, as soon as possible after the information is collected). It explains to individuals the purpose for which the information is collected, and how the organisation will use and handle the information.

    In addition to being a requirement under the Privacy Act, privacy statements are important because they promote transparency about the collection and handling of personal information, and ensure individuals are aware of their rights and obligations in relation to giving up (and later accessing) their information.

    Privacy policies v privacy statements

    Although they both inform individuals about how we will manage their personal information, privacy policies and privacy statements are different.

    A privacy policy speaks about our information management practices in a broad sense, whereas a privacy statement outlines our information handling practices for a specific purpose or activity.

    A privacy statement should include:

    that we’re collecting information about them (if it's not obvious)
    the purpose of collection
    who we’re going to give it to (if anyone);
    whether the person has to give us the information and what will happen if they don't;
    that they can access the information we hold about them and correct it if it's wrong.
    The purpose of collection

    The purposes of collecting the information should be clearly stated and be specific, rather than explained in a general reference to a broad power such as ‘licensing’ or ‘for the performance of our functions’. In some situations, there may be several purposes of collection. We should try to list all the known purposes for which we are collecting that personal information from individuals to ensure that we are able to use the information as intended.

    Individuals are more likely to accept related uses or disclosures of their personal information when we are upfront about how we will use the information we are collecting.

    Who we’re going to give it to (if anyone)

    We are required to ensure that individuals are made aware of who their information is likely to be shared with. Where the information is usually shared for specific purposes, the statement should refer to these. If personal information is collected with the intention of publication or dissemination (such as online or in a publicly available document), this should also be made explicitly clear at the time of collection.

    Whether the person has to give us the information

    Where we have the power to compulsorily obtain information, this should be made clear. The privacy statement should state which law is being relied upon as the basis for collection, as this makes our authority clear and allows an individual to verify the legal basis for collection.

    What will happen if they don't…

    We are required to provide notice of the consequences for individuals if they choose not to provide all or part of the personal information requested. For instance, we may not be able to provide a full range of services if certain information is not provided.

    Where an individual has the option to not give certain details (such as an email address, phone number or even name), this should be made clear. There may be instances where an individual does not wish to participate or take advantage of all of our activities, and so may prefer to withhold certain information.

    When should we provide a privacy statement?

    A privacy statement should be provided to an individual each time we collect personal information from them. When collecting personal information in connection with different functions or activities, we need to provide more than one privacy statement. This is because the purposes for collection, the type of information collected, and the way in which the information is used and disclosed may differ with each activity. For example, information collected when receiving a complaint will be handled differently from information collected as part of a recruitment process.

    Layering privacy statements

    Information required under IPP 3 can be provided in layers, from a full explanation to a brief notice. Brief privacy statements on forms or signs can be supplemented by longer statements made available online or in brochures. For example, where CCTV surveillance is being conducted, the sign might identify that we are conducting surveillance, briefly explain why there is surveillance and provide a website where individuals can find more complete details about IPP 3 matters.
